Is my financial data secure?

Yes. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Direct messages are additionally end-to-end encrypted with NaCl box — not even we can read those. Channel messages are not end-to-end encrypted: your workspace admins can read them, which is deliberate, because a shared work channel is a business record. We comply with the DPDP Act 2023. To be precise about certifications: Reimbilly itself is not SOC 2 certified — our hosting provider (Supabase) holds SOC 2 Type II for the infrastructure we run on.

Which platforms are supported?

Reimbilly runs natively on iOS, Android, and as a web app in any modern browser. Desktop apps for Windows (x64 & ARM), macOS (Universal), and Linux are available on the Downloads page.

Can I use it for personal expenses without a company?

Accepted Answer

Absolutely. The Free plan is built for individuals — track personal spending, categorise receipts, and generate reports for your own records. No company or manager required.

Question 4

How does the approval workflow work?

Accepted Answer

Employees create expense reports and submit them to their manager (set by the org admin). Managers receive in-app and email notifications, review line items, and approve or reject with comments. Policy rules (max amounts, receipt requirements) are enforced automatically at submission time.

How does OCR receipt scanning work?

When you photograph a receipt, our AI engine extracts vendor name, date, total amount, line items, GST / tax details, and suggested category. Results appear in under 3 seconds and can be edited before saving.

Is there a free trial for paid plans?

Accepted Answer

There is no time-limited trial — instead the Free plan is free forever, with 50 scanned receipts a month and no card required, so you can evaluate Reimbilly for as long as you like. Upgrade to Pro, Team or Enterprise when you need more. Every paid plan is also covered by a full refund — within 14 days of a monthly charge, or 30 days of an annual one. Enterprise is self-serve at a published price; there is no sales call to sit through.

Can I export data for accounting?

Yes. Export any report as CSV or PDF, and save CSV column layouts so the file matches the spreadsheet your accountant already uses. Team and Enterprise workspaces can also push approved reports into Xero as draft bills, so nothing reaches the ledger until someone in finance authorises it. QuickBooks Online sync is built and waiting on Intuit's production approval, and TallyPrime posting runs from the Reimbilly desktop app, which is not yet available to download. Zoho Books is not supported.

What is end-to-end encrypted, and what is not?

Direct messages use NaCl (libsodium) box encryption — each one is encrypted on your device before being sent, using your recipient's public key, so the server only ever stores ciphertext and Reimbilly cannot read them. Channels are different: encrypted in transit and at rest, but not end to end, so your workspace admins can read them and so could we if compelled by law. That split is deliberate — a shared work channel is a company record; a one-to-one conversation about a salary or a medical claim is not. Use a direct message for anything you would not put in a work channel.

Why not build our own expense tool with an AI coding assistant?

You can, and the screens will come quickly — AI coding tools are genuinely good at drafting forms and dashboards. The effort is in what sits underneath and has to stay correct after launch: approval chains where a payout is only created after the final sign-off; expenses that lock once a report is submitted, so nobody approves a number that changes afterwards; policy and duplicate flags; an append-only audit log of every expense, report and approval change; an accounting push that stops on an unmapped category instead of guessing a ledger account; DPDP data-export and erasure requests; and the security fixes that follow all of it. With Reimbilly that upkeep is our job, and fixes reach every workspace without you maintaining a codebase. If your process is unusual enough that no product fits, building can still be the right call — just budget for running it, not only for writing it.
